Position Summary
The Mental Health Front Desk Receptionist is the first point of contact for clients and visitors. This position plays a critical role in creating a welcoming, professional, and compassionate environment while ensuring efficient front office operations. The ideal candidate is organized, detail-oriented, maintains confidentiality, and provides exceptional customer service.
Essential Responsibilities
Welcome clients, families, and visitors with professionalism and empathy.
Answer incoming phone calls and respond to emails promptly.
Schedule, confirm, and reschedule appointments using the electronic health record (EHR) system.
Verify insurance eligibility and collect copays and balances.
Complete client check-in and check-out procedures.
Obtain and update demographic, insurance, and consent information.
Maintain accurate electronic records while following HIPAA guidelines.
Assist with new client intake paperwork.
Monitor therapist schedules and coordinate appointment changes.
Process incoming faxes, mail, and electronic documents.
Collect payments and issue receipts.
Maintain an organized, clean, and welcoming reception area.
Order and maintain office supplies.
Support therapists and office leadership with administrative tasks.
Handle confidential information with discretion and professionalism.
Requirements
Preferred Qualifications
Bilingual (English/Spanish) preferred.
Experience verifying insurance benefits.
Knowledge of Medicaid and commercial insurance.
Familiarity with behavioral health terminology.
Qualifications
High school diploma or GED required.
Associate degree preferred.
Minimum of one year of receptionist, customer service, or medical office experience preferred.
Experience in a behavioral health or medical office is a plus.
Knowledge of HIPAA regulations.
Experience with Electronic Health Records (EHR) systems preferred.
Proficient in Microsoft Office and Google Workspace.
Strong verbal and written communication skills.
